JOB FUNCTION at ExxonMobil: General office administration: screen calls, arrange meetings, prepare all official correspondence, maintain RMG (Records Management Guide) in local office (electronic & hard copy), assign unique document identification numbers to all documents Prepare monthly expense reports for all Managers Maintain Government Official’s Hosting, prepare quarterly submittals, contract files, training & vacation logs for ExxonMobil Upstream and Downstream offices Act as custodian of the petty cash fund & Office PCard, Project Management, Drug Test Co-ordinator, Compliance Co-ordinator Statutory & Compliance: ensure update of activities of directors incoming & outgoing, managing the interface with Hogan Lovells Coordinate requisitioning of goods/services, process invoices and/or cash disbursement Primary interface with landlord and other building functions Co-ordinate local and international meeting/training events (arrange venue, AV requirements, refreshments, etc.) Travel coordinator: arrange overseas & local travel for visitors & employees, ensure distribution of Venture office Visitors Guide, maintain visitor tracking log, coordinate with office, hotels and shuttle & transfer companies Assist with procurement of visas and work permits for staff and visitors Assist with Safety & Security, appointed office Fire Marshal & First Aider for Upstream office, Co-ordinate fire drills, do regular safety checks of fire equipment, monthly Health & Safety meetings Ensure visitors and staff familiarise themselves with office emergency procedures, responsible for issuing of office keys, access cards, etc. Ensure office is fully supplied to meet operational needs (business supplies, equipment etc.) Supervise assignment of drivers assigned to personnel & guests on a daily basis Assists expats & visitors with issues related to living and visiting Cape Town & South Africa Ergonomic Coordinator: ensured staff supplied/issued with correct ergotherapy equipment to promote healthy working environment Workshop Coordinator: Major events such as Africa Oil Week, conferences, Defensive driving course for all staff & CPR training
